From spreadsheets to AlpacaKeep

Your herd deserves better than a spreadsheet.

A spreadsheet won't warn you about a missed vaccination, draw a pedigree, or flag a risky mating. AlpacaKeep does — and your first import is free.

We started where you are. For years the farm's records lived in files and an ageing program, and we know exactly how a spreadsheet quietly stops being enough as the herd grows. The importer is the same one we used to bring our own animals across — your headings read as they are, every run undoable.

Why farms leave the spreadsheet behind

It never reminds you

A spreadsheet sits there silently. AlpacaKeep watches due dates for vaccinations, drenching, and shearing, and tells you what is coming this week before anything slips overdue.

Pedigrees it cannot draw

Family trees are almost impossible to keep straight in rows and columns. AlpacaKeep links sire and dam, draws three generations on screen, and flags risky matings before they happen.

Safe on every device

One wrong sort, a deleted row, a file lost with an old laptop. Your records live in the browser and on your phone, backed up for you, with no formula to break.

Everyone on the same page

No more emailing herd_final_v3.xlsx around. The whole farm — owner, co-owner, farmhand, viewer — sees one live, up-to-date herd.

How the move works

  1. Step 1

Tidy your columns, or do not

Export what you have to a CSV. AlpacaKeep reads your headings as they are — name, date of birth, colour, microchip, sire, dam — so you do not have to reshape your file to match ours.

  2. Step 2

    Upload it

From Settings then Import, drop in your file and pick metric or imperial. We match animals by microchip, then tag, then name and date of birth, so re-imports update rather than duplicate.

  3. Step 3

Check it over, undo if needed

Your animals land in a free account. Have a look around, and if a run does not look right, one click undoes the whole import. Pick a paid plan only when you are happy.

What comes across from your sheet

  • Every animal, with names, dates of birth, colours, and microchips
  • Sire and dam, so pedigrees build themselves
  • Sexes, breeds, and fibre types
  • Weights, if you keep a column for them
  • Purchase prices and notes, kept private to you
  • Status — active, sold, or deceased
  • Whatever notes you have been keeping in the last column
  • Your own headings, read as they are, with no fixed template

Not sure your file is tidy enough? Send it over and we will take a look, or just try the import — nothing is saved until you are happy, and any run undoes in one click.

Questions before you switch

Do I have to format my spreadsheet a certain way?

No. The importer reads your existing headings, so DOB, Date of Birth, and Born all land in the right place. You pick metric or imperial at upload time.

What if the import looks wrong?

Every import is stamped as one batch. If a run is not right, Undo this import removes exactly the animals it added, and your earlier records are untouched.

Will it create duplicates if I import twice?

No. We match on microchip first, then tag, then name and date of birth, so a second import updates the same animals instead of doubling them.

Is my data private?

Yes. Your herd is yours, on EU servers, and prices or purchase notes are visible only to you and your co-owners, never to farmhands or viewers.
